New Office365 Outlook/Email log in for multiple devices

Legacy Basic Authentication will no longer be supported by Microsoft after October 2022, please follow these guidelines to switch your email account to use Office 365 modern authentication.

Modern Authentication is a more secure and versatile mechanism for logging into Office 365

Outlook on Windows

*Important Note Please Read* Before attempting to remove the account make note of any .PST files from the Account Settings within the Data Files tab which are currently accessed through your Outlook. Please be cautious of the location of the .PST file, as these file(s) will need to be re-added to the account after account removal.

Step 1. (Please take a screen shot within the data file tab, if NO .PST files are present proceed to Remove and Add the account)

If you are unable to locate the .PST file(s) location, or you have found .PST file(s) please contact the Service Desk 210-567-7777 opt 1 for further assistance.

If you found the .PST file location and no files are present, please proceed to Remove and Add the account.

Remove

  1. Open Outlook
  2. Select File
  3. Select Account Settings
  4. Select Account Settings from the menu
  5. Select the account to delete
  6. Select Remove

(Message warning - all offline cached content for this account will be deleted

– this only affects content downloaded and stored on your computer, but it will all come back when you re-add the account)

  1. Select Yes to confirm

Add

  1. Open Outlook
  2. Select File
  3. Select +Add Account
  4. Enter email address
  5. Select Connect
  6. Enter UTHSCSA domain password when prompted
  7. Select Sign-in
  8. Once account setup is complete, Select OK

Outlook on Mac

*Important Note* - Before attempting to remove the account make note of any .OLM files.

Step1. (Please take a screen shot of the .OLM file location. By default, your Outlook mailbox data is stored in the following location:

  • Users/‹username›/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/Main Profile

If you are unable to locate the .OLM file location, or you have found .OLM file(s) please contact the Service Desk 210-567-7777 opt 1 for assistance. If NO .OLM file(s) are present proceed to Remove and Add the account.

Remove

  1. Open Outlook
  2. Select Tools
  3. Select Accounts
  4. Select the account you want to delete
  5. From Accounts dialog, click – button
  6. Select Delete

 

Add

  1. Open Outlook
  2. Select Tools
  3. Select Accounts
  4. From Accounts dialog, click + button
  5. Select Exchange
  6. Complete the fields as follows:
  1. Enter email in this format: username@uthscsa.edu
  2. Or enter username as: username@uthscsa.edu
  3. For Password, enter the UTHSCSA domain password
  1. Click on Add Account

Outlook on iPhone or iPad (iOS)

Remove

  1. Open Outlook for iOS
  2. At the top left, Click on your picture or icon by the inbox
  3. Down on bottom left, Click the Gear icon (settings)
  4. Under Mail Accounts, Click on your Office 365 account with your name under it
  5. Scroll down and Select Delete Account
  6. Verify you want to Delete, and it deletes your UT email account

Add

  1. Open Outlook for iOS
  2. If this is your first time, enter full email address, then tap Add Account
  3. If not, open the Menu > Settings > Add Account > Add Email Account
  4. Enter email account password & Sign In
  5. If multi-factor authentication is enabled, verify your identity
  6. Accept any prompts for permission
  7. Swipe through the features and you are now ready to use Outlook for iOS

Outlook on Android

Remove

  1. Open Outlook app
  2. Tap Account icon
  3. Tap Gear icon
  4. From Accounts, select your Office 365 account (username@uthscsa.edu)
  5. Select Delete Account

Add

  1. Open Microsoft Outlook app
  1. If this is the first account you are setting up in Outlook, click on Get Started
  2. If this is not the first account you are setting up in Outlook, click the Gear icon in the upper right side of the app, & Select Add Account
  1. From Add Account, enter full email address (username@uthscsa.edu) then tap Continue
  2. From the UTHSCSA screen asking for a work or school account, enter the full email address and password & then tap Sign in
  3. From Account Added screen, tap Skip
  4. Outlook will now begin syncing your Mail, Calendar Items & Contacts

Mail app on Android OS

Instructions to remove/re-add the email account from the Mail native app for Android is different for each device. As there are many varieties of android mobile phones. Please reference online or the manufactures website for instructions.

*Important Note - verify android OS version is up to date* native mail app can handle the new authentication if the OS operating system is up to date from the device’s settings

Mail on MacOS and iOS Mail app

  1. Open Mail
  2. Select Mail > Add Account
  3. Select Exchange > Continue
  4. Enter name, email address & password for your Exchange account > Sign In
  5. Choose the Mac apps you want to use with this account: Mail, Contacts, Calendar, Reminders, & Notes
  6. Click Done

*Important Note - verify iPhone/iPad iOS version is up to date* native mail app can handle the new authentication if the OS operating system is up to date from the device’s settings

iPhone or iPad (iOS)

Remove

  1. Go to Settings > Mail > Accounts
  2. Click on the Account associated with your UT Health email
  3. Go to bottom and Click Delete, then Delete from My iPhone

 

Add

  1. From iPhone or iPad’s Settings > tap Accounts & Passwords > Add Account
  2. Select Exchange
  1. Enter your Microsoft 365, Exchange, or Outlook.com email address and a description of your account
  1. Tap Next
  2. Choose Sign In (Do not select Configure Manually)
  3. Enter the password associated with your email account, UTHSCSA domain password
  4. Tap Sign In or Next
  5. The Mail app may request certain permissions. Tap Accept

Thunderbird

  1. Open Thunderbird
  2. Select Account Settings
  3. Expand the settings for your UTHSCSA email account and select Server Settings
  4. From the Authentication method drop down, select OAuth2
  5. Save the changes by selecting OK
  6. Select Preferences from the Thunderbird menu
  7. Open Security tab
  8. Select Saved Passwords…
  9. Remove any entries related to your UTHSCSA email address
  10. Exit Thunderbird
  11. Start Thunderbird again

You will see a prompt asking for your email address and password, this is a web portal for Microsoft 365 email login After successfully signing in here Thunderbird has your account configured and connected using Modern Authentication
