Importing Student Email Groups for Course Surveys in Qualtrics

Student emails can be exported from courses in Canvas for use in Qualtrics. With this export csv file, survey owners can create a contact list to send emails in bulk.

Canvas Export Steps

In Canvas, navigate to the course that you want to export a student list from

  • In the course click: Course Analytics -> Students 
  • Then click the download button on the top right

 

File Preparation Steps

In order to upload this file, we need to match the upload format requirements of Qualtrics. To do this, we need to make a new upload file with data from the canvas export. A sample file is attached to this guide if you would like to use that and replace the emails there. 

Once the CSV file downloads from Canvas, open the file and copy the email column data in the downloaded student.csv file to a new spreadsheet. Alternatively, you can also re-use the original file by simply deleting all fields except for the email field.

When saving the new file, verify that it is saving as a Comma Separated Values (CSV) format

Qualtrics Import Steps

Log into Qualtrics and do the following: 

  • Click the Main Menu on the top right and then click Directories
  • Click on Lists and then Create a List
  • Enter the new list name 
    • It is recommended that you make this descriptive to the year and/or course number for continued use
  • Select the upload option for creating the list
  • Select the saved email CSV file and confirm the upload
