Export Outlook Data to an OLM Archive File

There is no default or pre-existing Outlook for Mac OLM file location. However, you can create the OLM file manually by following these steps:

Step 1. Open Outlook and go to the File tab, click "Export".

Step 2. A new window named “Export to Archive File (.olm)” will pop up. Select the items from the provided list that you want to export, once complete click "Continue".

Step 3.  In the "save as" box, name the file and browse to a preferred location - such as desktop or documents - then click "Save".

Step 4. Once the process completes, click "Finish" to end the whole task.

Step 5. After Exporting OLM files, please follow the steps below in removing/re-adding your UT Health email account.

Remove

  1. Open Outlook
  2. Select File
  3. Select Account Settings
  4. Select Account Settings from the menu
  5. Select the account to delete
  6. Select Remove

(Message warning - all offline cached content for this account will be deleted – this only affects content downloaded and stored on your computer, but it will all come back when you re-add the account)

  1. Select Yes to confirm

 

Add

  1. Open Outlook
  2. Select File
  3. Select +Add Account
  4. Enter email address
  5. Select Connect
  6. Enter UTHSCSA domain password when prompted
  7. Select Sign-in
  8. Once account setup is complete, Select OK

Importing OLM Files

 

Outlook email messages, contacts, calendars, and other items that you exported to the archive file can all be restored by importing the OLM file into Mac Outlook. The following steps show you how to restore your emails from an OLM file:

Step 1. Open Outlook and click "Import" under the File tab.

Step 2. Select "Outlook for Mac archive file (.olm)" and select "Continue".

Step 3. Locate the .olm file on your Mac in the “choose location”, and then choose "Import".

 

Step 4. A confirmation window will open stating that the data has been imported. Select "Finish".

**Note** depending on the size of the file, It may take a moment to populate all of the emails.

 

 

 

Default Locations for Outlook Data

**Note** the following locations are where basic Outlook items are stored by the program. This will not be the location that was chosen for the OLM file.

This is beneficial when trying to find/recover items that have not been archived in an OLM file.

By default, your Outlook mailbox data is stored in the following location:

  • Users/‹username›/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/Main Profile

 

What to do if Outlook Folder is Hidden?

In Outlook for Mac, the Outlook 15 Profiles folder is hidden by default. You can unhide the Library folder to access the Outlook 15 Profiles folder. Follow these steps:

  1. Launch Finder and go to Home.
  2. Select View, and then select Show View Options.
  3. Check that the Show Library folder is selected and close View Options.

Once you have followed these steps, you can access Outlook 15 Profiles folder. Subsequently, you can access your mailbox files.
