The “Reviewer” is responsible for completing a review; that is, determining which permissions to keep and which to remove.
You should receive an email with a link to perform your required task (described below.) To do so, you will need to log into the IGA server. Instructions for doing so are at https://uthscsa.teamdynamix.com/TDClient/2009/Portal/KB/ArticleDet?ID=92101
Review notification
When a review is ready for you to complete, you will receive an email like the following:
Click on the link in the message to log into the server and begin the review.
Performing a review
After you log in, you may see a screen like this that lists reviews pending for you. If you clicked on the link in the email you received, it should skip this screen and take you directly to the review you need to complete. If so, you can skip the next paragraph.
The “Your items” column indicate how many total items there are on your review and how many you completed. The “Your items due” column indicates how much time you have to complete your review items. The “Overall status” will show a progress indicator for all the items on this review (for reviews with a single reviewer, this will be the percentage of “Your items”) completed. Finally, the “Review Due” column indicates when this review must be completed; for a single reviewer, it will match the “Your items due” column. Click on the review name from the list to open it.
When you open the review, it will look similar to this:
You may sort the list by User or by Review Item.
Each line shows a permission or role in Campus Solutions (listed under “Review Item”) and the user to whom it is assigned. If multiple people are assigned to a role or permissions, each person will be listed on their own line. For example, the first line below shows that person A is assigned the “HSC FA-OFFICE INQ” role in Campus Solutions, and the second line shows person B is also assigned that same role.
Getting more information about a Review Item
The "Review Item" name is the name of the role or permission in Campus Solutions and may not be obvious to you what access it bestows. For more details, click the Review Item name and it will expand. A description of the role/permission will be shown at the bottom center in the box titled “Permission”.
If you have any questions or need further clarification on what a specific role or permission is for, please contact the application security group.
Selecting to keep or remove a permission
To indicate that you wish for this person to keep this permission/role going forward, click the “Keep” button on that line. If you wish for this person to no longer have this permission/role , click the “Remove” button.
For either “Keep” or “Remove”, you can select the drop-down arrow and select to add comments to document your decision.
For example, to include a comment for removing person B's permission, you would click the drop-down for “Remove” and select “Remove with comments”, then enter the comment in the resulting comments box and click “Remove”.
After each decision, it will update the list to show your proposed action:
Undo and Submit buttons
If you wish to change your decision for an item, you can click the “Undo” option at the right.
The “Submit” button at the far right of each line is used to finalize your decision for each item, which means you won’t be able to go back and undo it. Instead of submitting each row, it’s usually easier to just submit all your decisions at once at the end. However, if you want to finalize each decision as you go along, you can do so with the submit button on each line. Doing so will also update the progress bar for the review. Note, however, that if you submit an individual item on any page other than the first page, it takes you back to the first page after submitting.
Apply same action to several or all items (bulk action)
If you wish to apply the same action/decision to all the items on a page, click the checkbox in the header to select all the items. When you do this, an "Actions" button will appear above it. Click the drop-down and select which action you'd like to apply:
You can also use this capability for multiple items without selecting all by simply checking the checkboxes for the ones you want to apply the same bulk action to. Conversely, you can also use the select all checkbox (in the column header) and then uncheck any you don't want to apply the bulk action to before selecting the action.
Submitting completed review
You do not have to complete all the items in one session—you can log out at any time and it will automatically save your progress.
Be sure to check to see if there is more than one page of review items-- the page navigator is at the bottom left of the list.
Once you’ve selected your decision for each row, please go back and review your choices. Once you’re satisfied they are all correct, you can submit all the items by clicking the “Submit” button at the top right:
Once you do this, you’re done! Click the drop down next to your name at the top right and select “Sign Out”.
