Customize Active Directory photo

Request to replace the default badge photo with a custom photo in Active Directory, which feeds Outlook/Exchange, Office 365 (including Teams, SharePoint, etc.), and Jabber.

If you are a new employee, your badge photo will be uploaded automatically about a week after you start.  You do not need to submit a request for that unless it has been more than two weeks since you started and your photo is still not showing in Outlook or Office 365.

Once you submit a photo and we have processed it, please allow several days for the photo to fully propagate to all Office 365 products and Jabber.

Please note that the custom photo will only appear in Jabber and Office 365 products.  Custom photos will not be replicated to the online staff directory, UT Learns, or other applications that have photos as they receive their photos directly from the badge system.  There is currently no ability to replace photos in those other applications.

Eligibility:
Staff, faculty, and residents.  Due to privacy considerations, photos for students are not displayed by default.  However, students can request to override this by submitting a photo.

Photo guidelines:
You may request to replace the default badge photo with a photo of your choosing subject to the following guidelines:

  • Professional headshots are preferred but not required provided the photo you provide meets the guidelines below.
  • Should be a recent photo (within past 5 years.)
  • Should be a headshot with no other people visible.
  • Should be work-appropriate:
    • Professional attire and hair style
    • No hats
    • No pets
    • No sunglasses (unless medically-necessary)
    • Appropriate (preferably plain) background
    • Pleasant facial expression
  • No logos, icons, avatars, caricatures, animals, etc.
  • Please submit photos in JPG or PNG format. If possible, please crop your photo to a square that is preferably 96 x 96 pixels.  If you are not able to do this, you can submit the entire photo and IMS will edit it as needed.
  • IMS reserves the right to reject photos that are deemed inappropriate.
